Program

History and Mission

The Program Committee was established by the Board of Directors in 1971 in response to the need for a more effective method of selecting sites for and improving organization of the annual meeting. It promotes the annual meeting and assists in its organization and conduct. Specific charges are to arrange for the annual meeting site and to develop the basic format of the annual meeting. It solicits, reviews proposals (Deadline: 15 April for a symposium/workshop to be presented in the following year), and selects symposia and workshops to be held at annual meetings and develops guidelines and recommendations to improve organization of the meeting and increase effectiveness of presentation of papers and posters. Along with the International Relations Committee, it also explores possibilities for special meetings, such as joint meetings with other mammal societies, and participates in planning the content and format of such meetings. The committee serves as a source of advice and information to local committee Chairs and provides liaison between successive local committees. Current size is 14, but has typically been 12 in recent years. Chair of this committee should be appointed for a term of at least four years to allow effective functioning of the committee. The committee should include past and future local committee Chairs and the Secretary-Treasurer of the ASM (does not at present). The committee should continually update the guidelines for organizing the annual meeting, based on experiences of each local committee.

Responsibilities

June (at the Annual Meeting):

  • At the annual meeting, recruit potential hosts for upcoming meetings. This is the most difficult responsibility of this committee.
  • At the annual meeting, seek out potential organizers of symposia and workshops

July (after the Annual Meeting):

  • Send a thank you note to the Chair of the Local Committee and the Local Committee.
  • Notify the President of potential turnover in the Program Committee. Members serve at the discretion of the President, but the committee Chair can have a great deal to say about the composition of the committee.
  • Remind the President to notify the recipient of the Merriam Award and determine whether he/she will be presenting a plenary talk at the next meeting. The Chair of the next year's local committee needs this information for the "Call for Abstracts" which will be put together in October and November. The information can also be useful for advertising the meeting.

August:

  • Write other committee Chairs to notify them that any information that must go in the Call for Abstracts should be sent to the Local Committee Chair by November 1. Committees of primary interest are:
    • Education and Graduate Students
    • Grants-in-Aid
    • Honoraria
    • Human Diversity
    • Run for Research
  • Letters to outgoing members of the committee thanking them for their service.
  • Letters to incoming members of the committee welcoming them to the committee.
  • Prepare copies of the minutes of the committee meeting held in June and distribute them to all current, new, and outgoing members of the committee.

September (and October, and November):

  • Submit a notice to the Journal of Mammalogy inviting invitations for the meeting to be held in 2.5 years. These invitations will be presented to the membership at the next annual meeting. (i.e., Notice posted in 1999 would solicit invitations to be issued in 2000 for a meeting to be held in 2001). Follow up on contacts made in June.
  • Submit a notice to the Journal of Mammalogy inviting invitations for Symposia and Workshops to be held at the meeting held in 1.5 years (i.e., Proposals submitted in April of 1999 would be for Symposia and Workshops to be presented in June of 2000.) Follow up on contacts made in June.
